The short version
- We collect what you give us: your contact details if you take the exposure check, and your documents and reports if your agency has an account.
- We use it to deliver your assessment, run your reviews, and follow up only if you ask us to.
- We never sell or rent your information, and we don't use advertising or tracking cookies.
- Your contract is kept only if you choose to keep it. Your reports are kept as a record for your agency.
- You can ask for a copy of your information or ask us to delete it by emailing support@policingtechsentinel.com.
Who we are
Policing Tech Sentinel is offered by Police2Peace. It is owned and operated by 360AOR LLC, a New Jersey limited liability company, which is responsible for the information described in this policy. In this policy, "we" and "us" mean 360AOR LLC.
Questions about this policy go to support@policingtechsentinel.com.
What we collect
If you take the Contract Exposure Check
- Your answers to the eight questions.
- Your name, agency, work email, role, and where you are in the purchasing process.
- Whether you asked us to contact you about a full review.
- Anything you choose to add afterward: title, phone, state, agency size, what the contract is for, and your part in the decision.
The contract name you type for your printout stays in your browser and is never sent to us.
If your agency has an account
- Account details: your name, work email, agency, and sign-in records. Accounts are created by us; there is no public sign-up.
- Documents you submit for review: the text of a contract, RFP, proposal, or other procurement document.
- Reports: the findings, ratings, and scores produced by each review.
- Business records: credit quotes, receipts, and support tickets.
- Security records: sign-ins, sign-outs, failed sign-ins, and administrative actions, including the network address they came from.
When you visit the site
We do not use advertising cookies, analytics trackers, or tracking pixels. When you sign in, the app stores your sign-in session in your browser so you stay signed in. The site loads its fonts from Google Fonts, which receives your browser's network address to deliver them.
How we use it
- To send you your exposure assessment and, only if you asked, to contact you about a full review.
- To run the reviews your agency requests and keep its reports available to its users.
- To prepare quotes, apply credits, and answer support tickets.
- To keep accounts secure and investigate misuse.
- To produce anonymous statistics, described below.
We never sell, rent, or trade your information, and we never share it for anyone else's marketing.
How a review is processed
When you run a review, the text of your document is sent over an encrypted connection to one AI provider to produce the findings. Under our business agreement, the provider does not use your document to train its AI. It deletes the text within 30 days, and may keep it longer only where the law requires or for up to 2 years if its automated safety systems flag a request as violating its usage policy.
We do not keep the text of your document unless you tick the box to keep a copy with your review. We always keep the report.
The Security section of our home page shows each step. Your IT staff and counsel can request our security documentation, which names every provider we use.
Anonymous statistics
Each completed review adds one anonymous summary to our statistics: the type of technology, the document type, the state, the month, the contract's term and value range, the area ratings, and the kinds of gaps found. It never includes your agency's name, any user, or any contract text, and it is not linked back to your review.
We will not publish any statistic until each group contains enough reviews that no single agency can be identified. Your agency can opt out at any time by emailing support; after that, no further summaries are added for your agency.
Who else handles your information
We use a small number of service providers to run the site. Each receives only what it needs to do its job:
- A website host that serves the site and runs its server functions.
- A database provider that stores accounts, reports, and records, with nightly encrypted backups, in the United States.
- One AI provider that processes document text during a review, as described above.
- An email service that delivers assessments and notifications.
We may also disclose information if the law requires it, for example in response to a valid subpoena or court order.
How long we keep it
- Exposure check information is kept until you ask us to delete it.
- Reports and business records are kept for as long as your agency has an account. They are the record behind a procurement decision, so we archive rather than delete them. When an agency closes its account, it can ask us for a copy and for deletion.
- Documents are kept only if you chose to keep them, on the same terms as reports.
- Security records are kept permanently and cannot be altered, so that any incident can be investigated.
Your choices
- Get a copy or correct something: email support and tell us what you need.
- Delete your exposure check information: email support and we will delete it within 30 days.
- Stop hearing from us: we contact you only if you asked us to. Reply to any email or write to support and we will stop.
- Opt your agency out of anonymous statistics: email support.
Some records, such as security logs and records we must keep by law, cannot be deleted. If that applies to your request, we will tell you.
How we protect it
Every account uses a password and an authenticator code. Each agency's information is walled off from every other agency's at the database level. All traffic is encrypted, and sessions end after 15 minutes of inactivity. The full list of controls is in our security documentation, available to your IT staff and counsel on request.
Children
Policing Tech Sentinel is built for government agencies and their staff. It is not directed at children, and we do not knowingly collect information from anyone under 18.
Changes to this policy
If we change this policy, we will post the new version here with a new effective date. If a change affects how we use information we already hold, we will tell account holders by email before it takes effect.
This policy describes how Policing Tech Sentinel works as of the effective date above.
